Upload files with Magic Upload
Magic Upload is your central hub for getting documents into AICA. You can upload files from your desktop, and AICA also ingests documents from WhatsApp and Gmail integrations — all into one unified view.
Access Magic Upload
You can open Magic Upload from two places:
- Global button — The Magic Upload button in the top-right corner of every page. Click it to open the Magic Upload drawer from anywhere in AICA.
- Company AICA Report — Within a company's AICA Report, Magic Upload is also accessible, letting you upload documents directly in the context of that company.
Magic Upload is always accessible — you don't need to navigate to a specific company or page to start uploading files. Use the global button for bulk uploads, or open it from within a company profile to upload in context.
Upload files
Open the Magic Upload drawer
Click the Magic Upload button in the top-right corner of any page.
Drag and drop or browse
Drag files into the upload area, or click to browse and select files from your computer. You can upload multiple files at once.
Wait for processing
Each file goes through an automated pipeline — AICA extracts company information, identifies the document type, and matches it to the right organisation. You'll see status indicators as files move through processing.
Supported file formats
| Format | Extensions |
|---|---|
| PDF documents | .pdf |
| Microsoft Office | .doc, .docx, .xls, .xlsx, .ppt, .pptx |
| Archives | .zip, .rar |
| Images | .jpg, .png, .gif |
Each file must be under 200 MB. Files exceeding this limit will not be uploaded.
ZIP file handling
When you upload a ZIP or RAR archive, AICA automatically extracts the individual files and creates separate entries for each one. You can track the extraction progress in the file list.
Password-protected files
AICA detects password-protected PDFs, Office files, and ZIP archives. If a file is encrypted, it will be flagged and you'll be prompted to enter the password. Files with invalid passwords are marked accordingly.
File sources
Documents can enter Magic Upload from three channels:
| Source | How it works |
|---|---|
| Magic Upload (Web) | Manual upload via drag-and-drop or file picker |
| Gmail | Files from email attachments are automatically ingested |
| Files shared via WhatsApp integration are automatically ingested |
Each file in the list shows a source icon so you can quickly see where it came from.
What happens after upload
Once uploaded, each file enters the processing pipeline:
- Processing — AICA reads the file and extracts information
- Tagging — AI identifies the organisation name and document type
- Tagged — File is classified and ready for use in the Dataroom
Learn how to review and correct AI classifications in Tag and classify uploaded files.
