Filter and manage uploaded files

Magic Upload provides filtering, search, and file management tools to help you stay organized as your document volume grows.

Filter files

Filtering and managing files in Magic Upload

Use the column header filters to narrow down the file list:

FilterWhat it does
Organisation NameShow files for specific companies, or filter to "Untagged" to see unassigned files
Data TypeFilter by document category (e.g., Bank Statement, Financial Statement)
SourceFilter by where the file came from — Magic Upload (web), Gmail, or WhatsApp
Uploaded ByFilter by the team member who uploaded the file

Filters can be combined — for example, show only Gmail-sourced Bank Statements uploaded by a specific user.

Search files

Use the search bar at the top of the Magic Upload drawer to search by organisation name. Type at least 3 characters to see matching results.

File list columns

Each file in the list shows:

ColumnWhat it shows
File NameDocument name with a processing indicator if still being analyzed
Organisation NameThe company this file belongs to (clickable to reassign)
Data TypeThe document category (clickable to reassign)
SourceIcon showing WhatsApp, Gmail, or Web upload
Uploaded ByName of the user who uploaded the file
Last UpdatedDate and time of the last update

File actions

Click the three-dot menu (...) on any file to access:

  • Download — Save the file to your computer
  • View — Preview the file inline (PDFs open in a built-in viewer)
  • Delete — Remove the file permanently

Pagination

Files are loaded 20 at a time. Scroll down to load more files automatically.

Tip:

Use the Untagged tab as your daily action queue — it shows exactly which files still need an Organisation Name or Data Type assigned. Once the count reaches zero, all your uploads are fully classified.
