Tag and classify uploaded files
After files are uploaded, AICA's AI automatically attempts to identify the organisation and document type for each file. You can review, correct, or manually assign these tags.
How auto-classification works
When a file is uploaded, AICA's AI pipeline:
- Reads the file content
- Identifies the Organisation Name (which company the document belongs to)
- Identifies the Data Type (what kind of document it is — e.g., Bank Statement, Financial Statement)
You'll see an animated transition as files move from processing to tagged. If the AI is confident in its classification, the tags are applied automatically.
Manually tag a file
If a file isn't tagged or the AI got it wrong, you can assign tags yourself:
Click the Organisation Name cell
In the Magic Upload file list, click the Organisation Name column for the file you want to tag. A dropdown search appears.
Search and select the organisation
Type at least 3 characters to search for the company. Select the correct organisation from the results.
Click the Data Type cell
Click the Data Type column and select the appropriate document category from the dropdown (e.g., Bank Statement, GST Returns, Financial Statement).
When you tag one file from an email or WhatsApp group, AICA automatically applies the same organisation to other files in that group — saving you from tagging each one individually.
Tagged vs Untagged tabs
The Magic Upload drawer has three tabs to help you manage classification:

| All | Every uploaded file regardless of status |
| Tagged | Files with both Organisation Name and Data Type assigned |
| Untagged | Files still missing one or both tags — shown with a count badge |
Focus on the Untagged tab to quickly find files that need your attention. The badge count tells you exactly how many files still need classification.
File processing states
As files move through the pipeline, you'll see these status indicators:

|---|---|
| Processing | File is being read and analyzed |
| Identifying Doc Type | AI is classifying the document type |
| Tagging Organisation | AI is matching the file to a company |
| Unzipping Document | Archive is being extracted |
| Pre-tagged | AI classification complete, transitioning to final state |
| Tagged | Fully classified — organisation and document type assigned |
Where tagged files go
Once a file has both an Organisation Name and Data Type assigned, it becomes available in that company's Dataroom. The Data Type determines which folder the file is placed into.
