Request and follow up on missing data

When you need documents or clarifications from a borrower, you can create requests, send email reminders, and let AICA's AI handle automated follow-ups.

Add a new clarification

Adding a new clarification request from the Data Pending drawer

Open Data Pending

Click the red Data Pending button on the company profile page.

Click Add Clarification

At the bottom of the drawer, click Add Clarification (or Add Query for lender requests).

Fill in the details

Enter the request details — what data or document is needed, the Data Type category, and any additional context.

Save

Save the clarification. It appears in the Active tab as a new Pending item.

Send email reminders

Select the items

Check the boxes next to the pending items you want to include in the reminder.

Click Compose Email

In the selection footer, click Compose Email. The email composition drawer opens.

Choose recipients

Select the company or partner users who should receive the request. You can see all available users from the User List.

Configure the email

Write your message in the body. Toggle Download Data Pending List to attach the formatted list of pending requirements. Toggle Attach Signature to include your email signature.

Preview and send

Click Preview Email to review the formatted email before sending. When ready, click Send. The system tracks when the reminder was sent and by whom.

Tip:

After sending a reminder, you'll see a "Last reminder sent" timestamp at the bottom of the drawer — helping your team avoid sending duplicate requests.

Update Duration

If pending requirements have been outstanding for a while, you can refresh them to reflect today's date. Select the items you want to update and click Update Duration in the selection footer. This resets the requirement timestamp so recipients know the request is still active.

Note:

Update Duration is available for organization-level users (PNO users).

AICA Chase — automated follow-ups

AICA Chase is an AI-powered feature that automatically sends follow-up reminders for outstanding data requests.

How it works

  • Toggle AICA Chase on at the bottom of the Data Pending drawer
  • AICA will automatically send follow-up reminders on a schedule
  • The system shows the next scheduled chase date

Chase statuses

Edit and delete requests

  • Edit — Click the three-dot menu (...) on any item and select Edit Clarification to modify the request details
  • Delete — Click the three-dot menu and select Delete to permanently remove the request
  • Add Remarks — Click the Remarks column to add inline notes with automatic timestamps

Typical workflow

  1. Review the company's Dataroom to identify what's missing
  2. Create clarifications for each missing document or data point
  3. Send an email reminder to the borrower with the pending list attached
  4. Enable AICA Chase for automated follow-ups
  5. As documents arrive via Magic Upload, mark the corresponding items as Complete
  6. Archive completed items to keep the Active list clean
